Finance & QuickBooks
Invoices, bills, AR/AP, bank reconciliation, and two-way QuickBooks sync in one place — and the system itself won't let an invoice exist without a signed contract and a payment phase behind it. So there's no invoice nobody can account for, no overpayment nobody approved, and no "which contract was this for?"
What's Inside
Every check, permission, and audit record in here exists because a real contractor lost real money without it.
Every invoice has to point at a signed agreement and a payment phase — the system rejects one that doesn't, so there's never an invoice nobody can account for. Two clicks to raise it from a contract phase, with line-by-line tax, retainage, and customer notes.
Every vendor, subcontractor, and expense bill in one queue. Pay a bill without leaving the row, choose the payment method as you go, and settle several at once or part-pay one. All of it syncs to QuickBooks.
A review step between the person who enters a bill and the person who pays it. Whoever signs off sees the project and the amount they need to judge it — and nothing else about your finances.
Paying more than a bill asks for takes a senior finance approval and a written reason — nobody else can wave it through. The overpayment stays flagged on the bill afterwards, with the reason attached, so finance can always trace why.
Invoices, payments, bills, and bill payments flow both ways on their own. Turn the sync on or off per project, review anything that needs a second look in the sync queue and send it again, and set your own field mappings and matching rules.
Match payments and bills to bank statement lines. Company-wide bank register. Pending Deposits view for funds received but not yet deposited or reconciled. AI bank-statement reconciliation suggests matches.
Full credit lifecycle on both customer and vendor sides. Credit memos apply against invoices; refunds generate bills. Sub-category allocations on every credit for P&L accuracy.
Deleting an invoice, bill, payment, agreement, or project requires a written reason, and records who did it and when. The record disappears from every screen but is never actually gone — an admin can bring it back.
Generate, preview, send single or bulk customer statements. Per-contact AR rollups, bulk invoice creation from uninvoiced phases, ready-to-mail PDFs. No spreadsheet handoff to the bookkeeper.
Work in progress, budget versus actual, A/R with what's anticipated, general ledger, profit and loss by job, by rep, by period. Save the view you built and it's there next month.
Set the budget when you sell the job and watch the variance while there's still time to act on it.
What you see on screen, print, email and export all come from the same figures. A report and a PDF never disagree.
Data Integrity
The link is checked every time an invoice is created or edited. You cannot end up with an invoice that isn't tied to work you sold. Period.
If a contract has payment phases, invoices, or payments against it, deleting it is blocked — and the screen names exactly what has to be dealt with first. Nothing disappears quietly along with it.
A deleted financial record is gone from every project finance view, every report, and every export — not just the one screen you deleted it from. 'Why does my P&L show a voided invoice?' isn't a question anymore.
When a project flips to Cancelled, any unpaid invoices cancel automatically with an audit trail entry. No ghost AR hanging around the books.
Ask your data anything
"Why was bill #2289 overpaid?" "Show me all unpaid invoices." "Which projects made money last quarter?" Plain-English queries across your live finance data — role-aware, so users only see what they should.
